Terms & Conditions

We want to make sure you get the most out of your classes.​ 

We understand that we all have busy lives and things can come up! This is why we offer multiple types of memberships which allow you to reschedule your class if needed. To reschedule a class, our booking system requires 24hrs notice. For full terms and conditions please read below.

By purchasing Pole Tricks & Aerial classes, you are agreeing to these terms and conditions as well as our studio rules. Please read carefully before purchasing a class and if you have any questions please drop us a message.

1. BOOKINGS & CANCELATIONS​
 

(1.1) All purchases and bookings are non-refundable and non-transferable.

(1.2) Students must complete their waiver and health form before attending. The system will prompt students to review and re-submit their form every six months.

(1.3) Students must cancel at least 24 hours before their class is due to start to be eligible for re-booking. This applies to all memberships and bookings.

(1.4) Spaces are available on a 'first come, first served' basis and must be booked through the online system. Students can book up to one month in advance. Classes fill quickly, so book early. For a recurring, guaranteed spot each week, contact us to set up a monthly membership with automatic bookings and hassle-free payments.

(1.5) All cancellations must be made through the online booking system. If you are unable to log in or cancel online, you must contact us at least 24 hours before the class starts. Contacting us after this period will result in the class being lost.

(1.6) Pole Tricks & Aerial aims to respond to all enquiries as quickly as possible. Emergency enquiries, such as login or booking issues, will be prioritised. For all other enquiries, please allow up to 48 hours for a reply, or up to 72 hours during busy periods. If you do not receive a response within this time, please send another email in case your message was missed. We are a small team and do our best to stay on top of all enquiries.

(1.8) Students must book the correct class that matches their level, unless otherwise discussed with an instructor. If unsure, please contact us for guidance.

(1.9) Students are responsible for booking their own classes. Spaces are not guaranteed after purchasing pay-as-you-go or block booking; please check availability before purchasing. To secure a guaranteed space, consider setting up a monthly membership.

(1.10) After purchasing a pay-as-you-go or block booking membership, students should book their classes immediately to avoid losing them. Expiry dates will not be extended due to fully booked classes.

(1.11) Repeated no-shows may result in temporary suspension.

(1.12) If classes are full, students can join the waiting list. When a space becomes available, the booking system will send a notification email. Students have one hour to book the spot before it is offered to the next person. A valid class credit must be available to book; if not, the system will prevent the booking until a class is purchased.

(1.13) Students may swap to an earlier or later class on the same day by contacting us, provided it does not cause the class numbers to drop below the minimum required. Class swaps are at the instructor’s discretion, as lesson plans may not be suitable for every student’s level.

(1.14) Arranging for another student to attend a class in your place is not allowed and may result in additional charges.

(1.15) In the event of a long-term illness or medical condition that prevents further exercise, a doctor’s note stating the student cannot exercise will be required to claim a refund for any remaining classes. Please note that the payment processor fee is non-refundable.

(1.16) Private lessons and workshop bookings are non-refundable and non-transferable.

(1.17) Private lessons require 48 hours’ notice to reschedule. Group bookings and parties require one week’s notice to reschedule.

(1.18) By purchasing or booking any class, course, workshop, event, or membership, students agree to our Terms & Conditions and acknowledge all procedures and consequences that apply if these terms are not followed.

2. CLASSES

(2.1) Pole Tricks & Aerial classes run for 47 weeks each year, with two weeks reserved for Christmas and New Year and three floating weeks for studio maintenance and instructor training. Students will be notified in advance of any floating weeks. Floating weeks do not affect monthly memberships, as classes are scheduled four weeks per month and this is a 5th week.

(2.2) Moreton-in-Marsh Bank Holidays: Due to venue closure at the Fire College Sports Centre, Pole Tricks & Aerial will not run classes on bank holidays. We aim to offer a replacement class on Friday of the same week. If students cannot attend, they are welcome to join another class on the timetable instead. This applies to all memberships. Please note that refunds will not be issued for bank holiday closures.

(2.3) Classes are currently planned with 2 students per piece of equipment.

(2.4) The number of equipment pieces, lesson content, equipment height, and use of extras such as swivels are at the instructor’s discretion and must be respected.

(2.5) Instructors will allocate students to equipment; students must not walk in and claim a piece themselves.

(2.6) Practice sessions for showcase preparation will be offered based on class sizes. Spaces will be released on the day at the instructor’s discretion. Pole Tricks & Aerial reserves the right to cancel practice sessions at any time.

(2.7) Practice sessions are supervised but not taught. Students must come prepared with moves they are confident performing and must not attempt new moves. Students are responsible for warming up and cooling down properly.

(2.8) Pole Tricks & Aerial reserves the right to change its class offerings, timetable, and pricing. Notice will be given where possible.

(2.9) If a class is covered by a different instructor, the class type may change due to differing instructor qualifications. Students will be notified as soon as possible.

(2.10) If the class discipline changes, students may request to reschedule, but this must be done within 2 hours of receiving the notification. Requests made after this period will not qualify for rescheduling. Rescheduling is only available if the class discipline changes; instructor changes alone do not qualify.

(2.11) A minimum of 4 students is required to run a class or workshop.

(2.12) Pole Tricks & Aerial reserves the right to cancel or merge classes, courses, and workshops at any time (e.g., if the minimum number of students is not reached).

(2.13) If a class is cancelled, we aim to give at least 2 hours’ notice where possible. The booking system will automatically send a notification email (check your junk folder if you do not receive it). Students can also verify cancellations via the booking system or by contacting us.

(2.14) In the event of a cancellation: For pay-as-you-go or block bookings, membership expiration dates may be extended by one week if needed. For monthly memberships, students may rebook another class within that month or use a catch-up class in the following month (see Memberships and Catch Ups sections for details).

(2.15) Spectators are not allowed during group classes, private lessons, or workshops at any venue.

3. PAYMENTS

(3.1) All sessions must be paid for at the time of booking. Pole Tricks & Aerial reserves the right to cancel your place on a class, workshop, or event if payment is not received.

(3.2) All memberships and bookings must be paid online through our booking system. Cash payments are only accepted if booked well in advance.

(3.3) Our payment processor is Stripe for pay-as-you-go and block booking options, and GoCardless for monthly membership options.

(3.4) Pay-as-you-go and block booking memberships are one-time charges unless additional classes are purchased.

(3.5) For monthly memberships, students create an account with GoCardless and enter their bank details instead of card details. Payments will only be taken for the memberships purchased and any extra classes the student has agreed to attend.

(3.6) Monthly memberships are charged as a recurring direct debit until cancelled. Students can cancel their membership through the booking system; please see section 4 for full details, including the required cancellation period.

(3.7) Mistaken purchases (for example, clicking multiple times on a membership) may result in multiple charges. We can refund these mistaken purchases, minus the payment processor fee, as this fee is non-refundable.

(3.8) Failed payments must be resolved before any further classes can be booked or attended.

(3.9) Outstanding balances will be pursued.

(3.10) Pole Tricks & Aerial reserves the right to adjust prices to reflect rising costs such as venue hire, insurance, staffing, or booking system fees. Any price changes are necessary to ensure we can continue running classes and maintaining quality. Students will be given at least 30 days’ notice of any changes.

4. MEMBERSHIPS

(4.1) All memberships are non-refundable and non-transferable. By purchasing, students are committing to their membership. Please read the full Terms & Conditions and membership descriptions carefully before purchasing.

(4.2) Pay-as-you-go memberships are valid for 30 days from the date of purchase.

(4.3) Block booking memberships are valid for 8 weeks, starting from your first booking. All classes must be used within this time, and bookings can only be made for dates on or after your first scheduled class.

(4.4) Monthly memberships are recurring payments until cancelled. One calendar month’s notice is required (the notice period begins from the 1st of the following month). For young flyers, please see section 8.

(4.5) Monthly memberships are billed 12 times per year, on the 1st of each month.

(4.6) To set up a monthly membership and secure your weekly space, please contact us.

(4.7) If students do not follow the membership cancellation policy, they will be blocked from booking future classes with Pole Tricks & Aerial until any outstanding balance is paid.

(4.8) Monthly memberships include a set number of classes per month. Students may attend any regular class on the timetable at either venue. If a class is cancelled with at least 24 hours’ notice, a catch-up class will be provided for use the following month. Please see section 5 for catch-up classes. For young flyers, see section 8.

(4.9) If a class is cancelled due to weather conditions, low attendance (fewer than 4 students), instructor illness, or instructor holiday, students may rebook within the same month or receive a catch-up class for the following month.

(4.10) If students are unable to attend catch-up classes and are concerned about losing them, we recommend reviewing the available membership options to ensure the most suitable plan.

(4.11) Pole Tricks & Aerial reserves the right to cancel unused monthly memberships where there is a waiting list. After 4 weeks of no-shows, the space may be passed on to another student, but we will contact you first.

(4.12) Bank Holidays do not qualify for a reduction in monthly membership fees.

(4.13) Monthly memberships may be placed on hold for one calendar month. This must be arranged in advance, with at least one month’s notice. Holds are granted at the discretion of Pole Tricks & Aerial.

(4.14) Holds can only begin from the next payment date. While on hold, students cannot use their monthly membership or catch-ups, but are welcome to attend on a pay-as-you-go basis if they’d still like to join a class. Payments will resume automatically once the hold period ends.

(4.15) To cancel a membership while on hold, students must still follow the standard cancellation policy and provide one month’s notice.

(4.16) During the Christmas and New Year closure, monthly memberships will not be reduced. Students will be charged the standard monthly fee and may use their classes anytime within the three weeks in December, or catch up any remaining classes during the four weeks in January.

5.  CATCH UPS FOR MONTHLY MEMBERS
 

(5.1) Students may catch up a missed class within the same month by rescheduling through the booking system, provided they give at least 24 hours’ notice before the class start time.

(5.2) Catch-ups may only be used within the same month or the following month. If a student wishes to use a catch-up in the following month, they must email us to have the credit added manually, as our booking system does not support rolling credits and will not automatically recognise unused classes.

(5.3) Catch-ups must be arranged by the student and are subject to these terms and conditions.

(5.4) Catch-up bookings are subject to availability. Students must book in advance to avoid disappointment. Expiry dates will not be extended due to fully booked classes.

(5.5) Catch-ups cannot be used to replace a regular booked class. Students may not cancel a regular class in order to rebook using a catch-up credit.

(5.6) Class spaces are prioritised for paid bookings over catch-ups. If a student books a catch-up and fails to cancel it in advance, they will forfeit that catch-up credit.

(5.7) Catch-ups are a discretionary benefit provided by Pole Tricks and are not included as part of a paid monthly membership. We reserve the right to amend or withdraw this benefit at any time.

(5.8) Catch-ups may be used for practice sessions, with one catch-up credit equal to one practice session.

(5.9) Students with cancelled or suspended memberships are not eligible for catch-ups. Any unused catch-ups will be forfeited from the date the membership is cancelled or placed on hold. If a student cancels during their final month, they will not be entitled to carry forward any missed classes, as catch-ups are a benefit for active members only. All classes must be used within the final month of membership. If Pole Tricks & Aerial cancels a class during the final week of a student’s membership, a catch-up will be issued for use the following month.

6. HEALTH & SAFETY

(6.1) Studio rules are in place to keep students safe whilst training, please read them carefully. Failure to follow the rules will result in no longer being able to attend the classes and all outstanding bookings will be lost.

(6.2) The warm up is the most important part of the class and usually lasts 5-7 minutes. Due to this, if students are more than 5 minutes late to their session, will not be allowed to join the class and will not receive a refund.

(6.3) Students who turn up to class wearing unsuitable clothing or jewellery will be turned away and the class will be lost (please refer to our studio rules for what to bring and wear). Wearing jewellery can cause serious injury, as well as damage the equipment, which could lead to extra charges for replacement.

(6.4) Pole Tricks & Aerial reserves the right to cancel classes during extreme weather conditions.

(6.5) Due to both or our venues having a snow roof, classes will not run if there's a certain amount of snow set on the roof, due to health and safety reasons.

(6.6) Anyone under the age of 18 will need parental/guardian consent to join the classes when. signing up on our booking system.
(6.7) Our minimum age for our adult classes is 16, unless otherwise discussed with Pole Tricks & Aerial.
(6.8) Pole Tricks & Aerial will not teach pregnant ladies who are new to this type of exercise. If you have just had a baby you must check first with your doctor that you are ready to go back to a medium to high level of exercise.
(6.9) If students are injured they must check first with their doctor if they are able to attend classes. And all students must let their instructor know if they have any new injuries prior to attending the classes.
(6.10) Students should not come to class if they are unwell, due to the nature of our sport it can be very easy to spread germs. Cancellation policy still applies.

(6.11) Students should not come to class if they have had contact with or have symptoms of COVID 19. If students start to suffer symptoms of COVID 19 after class they need to let us know as soon as possible.

(6.12) All accidents will be documented. However, minor injuries will likely occur, such as small bruises, minor friction burns and muscle soreness due to the nature of the sport, therefore these will not be documented.

(6.13) Spotting is required to keep students safe, if students prefer to not be spotted they must notify the instructor prior to starting the class. Please be aware if students choose not to be spotted, this will affect which moves they are able to learn, as safety always comes first.

(6.14) Students must listen and follow instructions at all times, use crash mats and only perform moves they feel confident in.

(6.15) It is the students responsibility to take account of any physical or mental impediments they have before they begin any Pole Tricks & Aerial classes and they must notify the instructor of any medical conditions that may affect them during the class.

(6.16) Injuries or incidents occurred during the classes are in no way the fault or the responsibility of Pole Tricks & Aerial or the Instructor. Students take full responsibility for themselves when attending classes and must follow our studio rules in order to stay safe.

(6.17) Students are required to notify Pole Tricks & Aerial if they are teaching or assisting at any other local aerial fitness school. All material taught in Pole Tricks & Aerial classes is not to be taught in any form at any other location without prior approval from Pole Tricks & Aerial.

7. PHOTOGRAPHY

(7.1) All Students will sign a photography waiver before booking their first class. Videos and pictures will be taken during lessons for advertising and social media use, if you do not wish to be on social media, it is your responsibility to let the instructor know and step aside when the photo or video is being taken.
(7.2) Please be considerate of others when taking pictures or filming videos in class. If you would like to post a picture or a video online which shows someone else's face on the back ground, please either ask their permission to post the picture or video, or you can blur or cover them with a sticker. There are many ways to do this, if you are unsure how please contact us so we can help you.

(7.3) Failure to ask permission to post pictures with other peoples faces in the background or without blurring them, is invasion of their privacy and it could lead to serious legal consequences.

(7.4) Students must also respect each other in class when it comes to taking pictures. Entering another students training space to take photos is not allowed, there are plenty of other places to take pictures from. Students are there to train safely, and by entering their training space you are putting yourself at risk and others, as well as interrupting their training. Equally ruining someones photo on purpose or speaking negatively to another student because of photos is against our studio rules and will not be tolerated.

(7.5) Safety always comes first, students should not put themselves at risk in order to take pictures. Students must prioritise spotting each other over taking photos. Students should only capture moves which they are confident in holding on their own.


8. YOUNG FLYERS / CHILDREN'S CLASSES

(8.1) Our Young Flyer classes are recommended for ages 10–15, as aerial training requires a high level of concentration and maturity. Students must be able to listen and follow instructions to ensure safety. Children aged 8+ may join group classes if they have a sports or club background, demonstrate maturity, and can consistently follow instructions to stay safe in class.

(8.2) For private lessons and small group privates, students as young as 6 years old can start their aerial journey.
(8.3) Children's classes run for 4 weeks per month for 12 months of the year (apart from Christmas & New Year closure).

(8.4) 'Floating weeks' (the 5th week of the month) we will have an inset day for equipment checks and instructor training, you can find our class dates here.

(8.5) Children's classes, courses and workshops bookings are non-refundable and non-transferable, please keep this in mind when booking.

(8.6) In the event of a class being cancelled due to weather conditions (snow), venue closure, or instructor illness, students will need to catch up their class on another available class.
(8.7) For monthly memberships, with 24hrs notice students can catch up their class on another available class. Please note catch ups are subject to availability (please see catch up section above for more information).
(8.8) If the child develops an injury or a long term illness, a doctors note will be required stating the child is no long able to exercise to qualify for a refund of any remaining classes. Please note the payment processor fee is non-refundable.
(8.9) Student to equipment ratio can vary for our children's classes/courses/workshops depending on class numbers and students' levels, however we will never exceed 3 children to each piece of equipment for the 10-15 years age group and 5 children to one piece of equipment for the 6-9 age group for group private lessons.

(8.10) Pole Tricks & Aerial reserves the right to cancel Children's classes/courses/workshops at any point but will give notice where possible.

(8.11) Children must respect the instructor and other students whilst in class, failure to do so will lead to no longer being able to attend classes, and all remaining classes already paid for will be lost.

(8.12) To cancel a child's monthly membership there's no notice period, please contact us before the next monthly payment is due to come out and we can cancel for you. Contacting after the payment has been taken will be too late unfortunately.

(8.13) Please let us know if your child cannot attend a class. You can do this by leaving the class on the booking system. Students who are on a monthly membership and often a 'no show' will lead to the membership being cancelled by Pole Tricks & Aerial.

(8.14) Please note that during the Christmas and New Year closure, monthly memberships will no longer be reduced. Students will be charged the standard monthly amount and may use their spare class within the three weeks in December or the four weeks in January.

(8.15) Please ensure you read full terms and conditions above as some sections will apply to young flyers.

(8.16) Children must be dropped off and collected at the designated entrance for their class. Children are not permitted to leave the class unaccompanied, even if meeting a parent in the car park or elsewhere. If a parent wishes for their child to arrive or leave independently, written permission via email must be provided in advance.
